Position: Church Administrator – Part Time Permanent

Mount Zion Lutheran Church is a welcoming, caring community, called by Christ and enabled by the spirit,

We are seeking a part time Church Administrator to support our mission, to serve as first contact with members of the congregation and community, and to maintain connections within the congregation and with outside persons and groups.

The Church Administrator will work with the Pastor, Director of Music and Parish Nurse to provide day to day operations of a busy church office.  He/she will be responsible to the Pastor for daily operations and to the Finance Committee of Church Council for maintaining the Church database and receipting.

Required Knowledge, Skills and Abilities

  • Excellent skills in Microsoft Word, Excel and Power Point. Demonstrated ability or database experience. Experience with website software.

  • Ability to handle multiple tasks in a timely manner with attention to detail.

  • Ability to work successfully with volunteers in a church environment.

  • Strong interpersonal skills including empathy, discretion and the ability to maintain confidentiality.

 

Major Areas of Responsibility

  • Maintain the Church database.

  • Produce tax receipts for member donations and occasional gifts as required by the Canada Revenue Agency.

  • With the Executive of Church Council, produce and distribute the Annual Report and Annual General Meeting notifications as required by the Government of Ontario.

  • With the Pastor, produce Parish Statistics required by the Eastern Synod of The Evangelical Lutheran Church in Canada.

 

Core Areas of Responsibility

  • With the Pastor, Director of Music and Parish Nurse, be responsive to member needs by courteous reception of visitors and timely responses to general account emails and phone calls.

  • With a volunteer member, deposit weekly receipts.

  • Under the guidance of the Service Committee, maintain gift card distribution.

  • With the Pastor and Director of Music, produce the weekly bulletin.

  • With the Pastor and Director of Music, produce the Power Point presentation for weekly worship.

  • With the Newsletter Committee and other volunteers, print and group email the monthly newsletter.

  • Manage and maintain the church calendar and post information on the website.

  • Be responsible for short term building rentals.

  • Liaise with the Admin Committee for long term and occasional rentals.

  • Be responsible for parking rentals with the assistance of the Admin Committee.

  • Update the outdoor sign in consultation with staff.

  • Do a daily walk through the building for security concerns.

  • Be responsible for the building keys inventory and distribution.

  • Purchase office and worship supplies.

  • Any other duties as assigned.                                                                                  

 

Terms of Employment

This is a permanent part time position with an average workload of 20 hours per week. The salary will be commensurate with experience and qualifications. It comes with an eligibility for benefits and a vacation entitlement of two weeks. The anticipated start date is January 1, 2020 and a police check is required.
